Which format should you download?

Online banking often offers formats other than PDF, and most people never notice. If you only need the numbers and your bank can export CSV or Excel directly, that is the cleanest route. In practice, though, a PDF is often all you have: it arrived by email, came out of an archive, or the bank only offers PDF for past periods. The method in this article is for exactly that case.

What to check in the extracted table

If the extracted data goes straight into your books, using it unchecked is risky. A few minutes of review costs far less than hunting a balance that does not reconcile at month end.

  • Row count: does the number of transactions match the statement?
  • Totals: do credits and debits agree with the statement's summary section?
  • Date format: has day/month order been swapped — especially on ambiguous dates like 01/02?
  • Decimal separator: comma or point, and whether amounts break when opened in Excel.
  • Sign: did debits come through as negatives, or in a separate column?

A common problem when opening in Excel

Double-clicking a CSV can mangle amounts depending on your regional settings; a number with a decimal comma turns into text or is mistaken for a date. The safer route is to open Excel empty and import via Data → From Text/CSV, choosing the delimiter and column formats by hand. Once set up correctly, you repeat the same steps each month.

A yearly breakdown means twelve separate statements. Processing them one by one and pasting the results underneath each other is slow and error-prone. Running them together in a batch and collecting the result in one table is safer. If you are combining several accounts, adding an «account» column makes later filtering far easier.

Privacy points worth remembering

A bank statement is sensitive: it carries your account number and a picture of how you spend. Before sending it to an accountant or a third party, removing what they do not need is a good habit — part of the account number, your address or unrelated periods can be permanently removed with the redaction tool.
