Tips for preserving formatting
If your document uses standard fonts (Arial, Times New Roman, Calibri), the output will be closest to the original. Very custom, non-installed fonts may render differently on some systems.

Prepare the document before converting
A PDF freezes the Word document as it stands, so whatever is in the file ends up in the output. A few minutes of preparation prevents surprises you would otherwise notice after sending.
- Turn off track changes and accept all revisions, or the markup can end up in the output.
- Clear comments, especially leftovers from internal review.
- Run the spell check once; fixing it in a PDF is far harder.
- Update the automatic contents page and field codes, or old page numbers get frozen in.
- Review the author and company details in document properties.
Why fonts shift
A Word file usually does not embed its typefaces; it only records their names. If the font is not installed on the other end, the program substitutes something similar, line lengths change, tables overflow and even the page count differs. A PDF embeds the fonts it uses. That is PDF's most useful property, and it explains why official submissions ask for it.
A note on CVs and applications
Documents sent with job applications are often uploaded into a system and scanned automatically, so it matters that the text inside the PDF is real text. A document produced straight from Word satisfies that; a CV exported as an image from a design tool or captured as a screenshot does not. There is a simple test: open the PDF and try to select your name with the cursor. If you cannot, the document is an image.

What you can do afterwards
Once you have the PDF you can keep working on it: merge it with annexes, add page numbers, reduce its size or permanently remove sensitive details. Most of these operate at page level, so they leave the content and appearance of the document untouched.
